How to upload, edit and delete Site Documents

This article will show you how to upload, edit and delete Site Documents.

This article will show you how to upload, edit and delete Site Documents. These can be added to Shift Records using two different methods:

  • Project Documents - are uploaded to Project and then may be viewed and signed on every individual Shift Record. 

  • Shift Record Documents - are uploaded to a Shift Record and may only be viewed and signed on that particular Shift Record.

You can only access the Project Documents tab to upload, edit or delete a document if you have the role of an Office User, Project Administrator or Workspace Administrator.

Step-by-step Instructions

How to upload a document to a whole Project

  1. First, choose the relevant Project and then click on Project Documents from the menu on the left

  2. Click on Project Documents, to see all Project Documents that have been uploaded.

  3. Click '+ UPLOAD A DOCUMENT' in the bottom right of the screen

  4. Select 'CHOOSE FILE' and browse for the file you want to upload from your device.

  5. At the bottom of the upload window, select to make the file 'INFO ONLY' or 'TO BE SIGNED'.

How to upload a document to a Shift Record

  1. To access Shift Record Documents, click on the relevant Project, then click on Shift Records

  2. Click on the three dots on the right of the Shift Record you want to upload a document to then click 'View Documents'

  3. Click on '+ UPLOAD DOCUMENTS' and browse your computer for the file you would like to upload

How to upload a document using the Mobile App

  1. To upload documents on the Mobile App you will first need to access the relevant project

  2. From there, you can click the three dots in the bottom right-hand corner of the shift you want to upload a document to

  3. You can then click the large '+' symbol at the bottom of the Mobile App and browse for the file you want to upload from your phone or tablet

Only Shift Record Documents can be uploaded on the Mobile App. We would recommend you upload all Project Documents using the Web App.

How to edit Site Documents

If the document you have uploaded isn't quite right, don't worry! We allow you to change document names and statuses by clicking the three dots on the right of any document and clicking 'Edit'. You can rename the document and change it from 'TO BE SIGNED' to 'INFO ONLY' or vice versa.

How to delete Site Documents

Deleting a Site Document is very simple to do. First, click the three dots on the right of the document you want to delete. Then you can press 'Delete' and confirm your choice by pressing 'YES, DELETE' and the document will be removed from the Shift Record or Project.

If signatures have been added to a document then you won't be able to delete the file. If you want to remove a Project Document from future Shift Records you can instead archive the file meaning it will not be removed from the Shift Records it has been signed on but will not appear on any new Shift Records.
